  1. How do I book a trip to the EOEC?

To book a trip to the EOEC, you’ll need to visit the Toronto Outdoor Education Schools (TOES) booking site. After signing in with your regular TDSB credentials, select ‘Book Overnight Program’. From here, you’ll have access to our availability calendar. Look through available bookings for the year and how many spaces are left for each booking date to find an appropriate date for your trip. NOTE: Only grade 6 classes/teachers can book directly in the system. All other grades will need to fill out a waitlist form (see #5). 


  1. After booking a trip, where can I find information about the EOEC to create an Excursion Management Application (EMA) trip?

For instructions on how to use and navigate EMA, click here. When creating your trip permissions specifically for the EOEC, use this document to help you fill in the required information, much of it you can copy and paste into EMA (e.g. location, itinerary, etc.). 


  1. When will the EOEC reach out to me regarding my schools trip?

After booking your trip, we will reach out to you roughly 3 months ahead of time with some initial instructions, forms, dates, etc. 


  1. How much will my schools trip cost?

The cost for an overnight trip is dependent on your schools Learning Opportunities Index (LOI) number and the length of your stay. To find your schools LOI, click here and search for your school. See below for fee structure:

  1. I am a grade 5, 7, or 8 teacher and am interested in a trip to the EOEC…what are my options?

In order to ensure that every TDSB student has the opportunity to visit an overnight centre at some point in elementary school, grade 6 classes are prioritized and can book directly in the system. All other grades will need to complete a waitlist form in the booking system. To do this, first sign in using your TDSB credentials, then from the tabs at the top select ‘Waitlist’, and then ‘Waitlist Form’ from the drop down. Here you will be able to fill out your schools details in hopes of a trip. In the event of a vacancy (e.g. cancellation, vacant spaces) we will reach out to offer a trip roughly 1 month ahead of time. 


  1. What are the timelines for planning a trip?

3 months before trip

-EOEC site supervisor will send initial details, instructions, and information

-Lead teacher create EMA trip and send permissions home (see #2 for instructions on how to do this)

-Begin collecting permissions from students/families and address any hesitancy in sending students on trip (e.g. parent info session)


2 months before trip

- EOEC Site supervisor will send some updates with important deadlines to keep an eye on

-Continue to collect permissions and firm up numbers


1 month ahead of trip

-Confirm numbers with EOEC. This should be the actual number of students that will be attending the trip (+/- a few is okay, but should be pretty firm). 


3 weeks ahead of trip

-EOEC will send some reminders ahead of your trip

-Program selections and food accommodations completed in EOEC forms package

-Major health/medical concerns communicated to EOEC (e.g. mobility issues necessitating a wheelchair option)

 

1 week ahead of trip

-EOEC will send last reminders ahead of trip

-Begin completing remainder of EOEC Visit forms/planning package

-Dining Hall Seating plan

-Table Setters

-Activity groups

-Health concerns, medical info, media release

-Dorm plan 


Day of trip

-Ensure that all forms are up to date, including any last minute changes (i.e. absences, additions on the morning of).

-Call site supervisor once packed and loaded on buses to confirm departure.

  1. Where can I find information to share with parents (e.g. packing lists, bug info, etc.)

All of our information can be found on our websites section for visiting students/families. This  includes packing lists, sample menu, photos of our facilities, frequently asked questions and much more. 


  1. Who is responsible for booking buses to and from the EOEC?

The EOEC will book the buses for your trip. The cost is included in your trip fee.


  1. When will the buses arrive at our school, when do they depart the EOEC? How many buses should I expect?

Buses generally arrive at school between 9:30 and 9:45 in the morning. Please call the EOEC if buses have not arrived by 10am. Generally, if you have more than 34 students attending, you can expect a 2nd bus. Please make sure buses leave together to ensure arrival at the same time.
