STUDENT ACTIVITY FEE

A Weston C.I. student is required to have a current Weston student card. The student card will be provided to students after they have paid their student activity fee ($50 includes the student activity fee and yearbook); which is due by the end of September 2024. Student cards are required for students to participate in any Weston C.I. extracurricular activity including sports, intramurals, clubs, executive positions. Staff advisors are required to confirm that students have paid their student activity fee by having students show them the current year student card or by providing a list of students to Rose Silva to confirm payment. Students are not allowed to participate in tryouts, practices or clubs until they have paid their student fees.  Any students who are in financial need should be referred to their Vice Principal to discuss a payment plan.

           ELIGIBLE FEES AND OTHER FUNDS COLLECTED FROM STUDENTS 

  • Fees – student activity fee, yearbook, uniform, tournament, and athletics – NOTE: The Education Act, Regulation 298, Section 170(1) 13 prohibits charging fees for textbooks. 
  • Sales – pizza & hot dog days, clothing, memorabilia, juice & milk sales and similar projects 
  • Special events – dances, dress down days, walk-a-thons, musicals, band concerts, school plays 
  • Student stores – student academic supplies, TTC tickets, non-textbook sales 
  • Co-curricular – field trips fees, guest appearances, buses 
  • Extracurricular activities - sports, clubs, events
  • Other activities which conform to Board Policy and The Education Act 

Weston Collegiate Institute offers students many opportunities to enhance their educational experience through co-curricular activities.  However, successful fulfilment of their academic requirements has the highest priority. We support and encourage co-curricular programs at Weston C.I. It is a privilege to be a part of any program sponsored by the school. Our student athletes and club executives are among our most visible of students, with a very high profile.  As such, they have a responsibility to act as role models for other students at Weston CI. They also serve as ambassadors or representatives of Weston CI both inside and outside of the school. The expectations we have of our students are very high.  Students will be expected to always conduct themselves in an exemplary and responsible manner. Failure to do so will result in your dismissal from the club, team, or position.

In order to participate in co-curricular activities, a student must fulfill the following requirements:

  • Have paid their current year student activity fee.
  • Be a full-time Weston CI student. New Gr 10-12 students must complete a TDSSAA transfer forms to play on a Weston CI sports team

 

EXTRACURRICULAR ELIGIBILITY POLICY

Our student athletes and club executives are among our most visible of students, with a very high profile.  As such, they have a responsibility to act as role models for other students at Weston CI.  They also serve as ambassadors or representatives of Weston CI both inside and outside of the school.  The expectations we have of our students are very high.  Students will be expected to always conduct themselves in an exemplary and responsible manner.  Failure to do so will result in your dismissal from the club, team, or position.


OFSAA allows only five consecutive years of sports eligibility.  This means that once a student enters high school they will have only five years to play sports.  Should a student choose not to play or to drop out of school that time will still be considered to have been used.


The academic eligibility procedure for students at Weston CI involves several key personnel and steps. Academic eligibility is done at the beginning of the sport’s season, out of season tournament or the club's initiation.  This procedure ensures students meet the necessary academic standards to participate in athletic and extracurricular programs. 


1. Students intending to participate as a participant or manager of a Weston CI School team, in an individual sport, or a member of a club* must fulfill the following academic standards: 

  • Have paid their current year student activity fee,
  • Students must be a fulltime student at Weston CI, and have a minimum of 3 courses per semester (Gr. 12 students only),
  • Passing a minimum of 3 out of 4 courses, 
  • Gr 12 students can only have one failing grade if they have a spare (2 out of 3 for Gr. 12 students), 
  • have a minimum average of 55%,
  • Students can ONLY hold 1 executive position per school year.

Marks will be determined by the most recent Provincial Report card at the time of eligibility.  For athletics, please see the chart below to determine which Provincial Report card will be used to determine eligibility. Incoming grade 9 students are eligible for all fall sports regardless of their grade 8 report card. For winter and spring sports, Weston CI report cards will be used to determine eligibility.

*Clubs requiring students to miss classes or requiring a year-long commitment and/or have executive members will undergo eligibility, e.g. but not limited to SAC, ACES, Ambassadors, Yearbook, Heritage, BSA, GSA, MSA.


2. Students are expected to maintain their studies and complete all work missed while away from class due to extracurricular activities.


3. Students must attend all classes regularly.  Attendance includes any unexcused lates and absences for each class.  Attendance will be reviewed for the 4 weeks prior when determining eligibility.  Students who have been late or absent for 16 unexcused classes within the month prior will NOT be eligible to participate. Each absent class counts as 2 and each late counts as 1.


4. All students must follow and adhere to Weston CI Code of Behaviour. Students must display acceptable classroom behaviour.  The administration will determine what is/is not acceptable classroom behaviour.


5. A student who is declared ineligible for participation on a school team/club or whose eligibility for participation has been questioned will only be able to appeal that decision through their coach/staff advisor if there are exceptional or extenuating circumstances.  Exceptional circumstances are generally meant to include extreme situations such as a death in the family, serious illness, family breakdown, family hardship etc.  Other situations that may be considered exceptional or extenuating as determined by the administration may be presented to the Review Committee for consideration.  Exceptional circumstances for any given student will be considered for a maximum of one season during which the student is expected to meet all criteria of the Weston CI Extracurricular Academic policy to maintain eligibility.  


6. For athletic teams, a three-member Review Committee consisting of the Principal, Vice Principal, the Assistant Curriculum Leader of Athletics, and the head coach may be present if it is determined that there are exceptional or extenuating circumstances for any student-athlete in regards to eligibility.  The head coach or designate, will present the athlete's case.  


7. For clubs, a review committee consisting of the Principal, Vice Principal and the Club Staff Advisor will meet to determine if there are exceptional or extenuating circumstances for the student in question in regard to eligibility.  The decision regarding a student’s eligibility is final.


8. If it is determined by the appeal process that the ineligible student is placed on probation, the student may practice, however, they will not be eligible to participate in any sporting game or club event until they meet academic eligibility.  The review committee will reconvene to reassess the student’s academic eligibility after 2 weeks.  The decision at that point will be considered final.


9. A meeting of the Review Committee may also be requested by the Administration in regard to any student who is on a team/club but is not abiding by the Weston CI Extracurricular Academic criteria.


10. In declaring a student eligible for participation on a Weston Athletics Team or in a club, the Review Committee may impose conditions on that participation.  A student, who is not able to or unwilling to meet the conditions as set by the review committee, will be ineligible for participation in said activity.


11. Any student who suffers from, or if there is a suspicion by anyone that a student may be suffering from any medical condition (i.e. concussion etc.) must be cleared by a doctor before the student is able to resume play.  This document must be provided to the coach/staff supervisor and an administrator.  The coach and athlete must connect with the Vice Principal with all documentation to provide proof of return to play clearance.  


12. Students are ineligible for participation in games, exhibitions or tournaments or school events while under any form of school suspension or TDSSAA suspension.


13. Every athletic team will be eligible for ONLY 1 GTA tournament per school year.  Pre-approval must be given by the ACL of Athletics and the administration as the cost of the supply teacher, tournament fee and transportation comes from the Physical Education Budget.


This collaborative approach ensures that academic eligibility is handled fairly and supports the overall success and well-being of students at Weston CI.
